Privacy Policy

Account details. When you register or purchase a plan, we collect your name, email address, and company name, along with billing information required to process payments.

Agent data. To build and operate your AI employees, we process the content you provide during setup: your business type and industry, agent name and avatar, voice selection, and the knowledge content you upload or configure for your agents.

Connection data. When you connect third-party services (such as Google Workspace, Slack, or email), we store the OAuth tokens and account identifiers needed to operate your agent on those services. We never ask for or store your passwords for connected services.

We use the information we collect to provide and operate the AgentTrac service, including to:

• Set up and manage your account, agents, and subscriptions;
• Process your agent's automations — such as drafting and sending emails, managing calendar events, and organising files — on your behalf and at your direction;
• Handle billing, invoicing, and payment processing;
• Provide customer and technical support;
• Improve, secure, and develop the product, and communicate service updates.

We do not sell your personal information, and we do not use your agent data to train models for third parties.

All data is encrypted in transit (TLS) and at rest. OAuth tokens and credentials are stored securely using industry-standard encryption and are only used to operate your agents on the services you connect.

Access to your data within AgentTrac is restricted to the minimum number of personnel required to operate and support the service, under least-privilege access controls, and all access is logged and audited.

When you connect Gmail, Google Calendar, or Google Drive, AgentTrac uses Google's restricted scopes — gmail.modify, calendar.events, and drive.file — strictly to operate your agent: reading, drafting, and sending email, managing calendar events, and working with files you explicitly grant access to. We do not use this data for advertising, and we never sell it.

AgentTrac's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Where you use Google services directly, Google's own privacy policy also applies to your use of those services.

We use trusted third-party providers to run the service, including payment processors for billing and cloud hosting providers for infrastructure. These providers process data only as necessary to deliver their services to us and are bound by their own privacy and security obligations.

We retain your account information, agent data, and connection data for as long as your account is active, so your agents can keep working. When you delete your account or request deletion, we remove or anonymise your data within a reasonable period, except where we are required to retain it to comply with legal or regulatory obligations.

You have the right to access, correct, or delete the personal information we hold about you, and to object to or restrict certain processing. You can exercise these rights at any time by emailing hello@agenttrac.ai. We will respond to all legitimate requests within a reasonable timeframe.
